PRECIS OF FEBRUARY 2015 MINUTES

This meeting took place on 5th February 2015 and the following items discussed:

  1. The funding for this Ward has been fully allocated, but the Panel are meeting every other month until the project finishes nationally which is the end of March 2015
  2. Due to unforeseen circumstances, one project had not taken place.  The money could not be reallocated owing to the rules of not been able to transfer funding from one year to another.
  3. CDF had sent various information sheets that had been forwarded to the Panel
  4. A Celebratory event is being organised for 30th March at The Willows Community Church from 17.30 to 19.00.  Invitations will be sent to those groups successful in their funding.
  5. An article on ‘Down Your Way’ will feature Freshney Ward Community First in February

PRECIS OF DECEMBER 2014 MINUTES

The meeting took place on 4th December and the following items were discussed:

  1. CDF had sent out information asking is they received funding for a further project ‘Supporting Communities’ to show interest.  The  Panel has completed and submitted their interest
  2. The Celebratory event for April 2015 was discussed and ideas suggested.   The Panel are to bring further ideas to the February meeting
  3. Reminder letters had been sent to those groups whose projects have either finished or will be finishing shortly for them to complete their monitoring forms and offering help if needed

PRECIS OF OCTOBER 2014 MINUTES

The meeting took place on 2nd October and the following items were discussed:

  1. As all the funding had now been allocated the Panel are only meeting every two months so that information can be passed to enable us to keep up to date.  The final date for all monitoring forms tobe submitted to CDF is 31st March 2015
  2. The Panel had informed Freshney Forward of all the applications that had been funded throughout the Community First Funding giving the names and amount received
  3. The Panel agreed to submit an evaluation  of the Community First Programme from their prospective and this was duly carried out.
  4. A final photocall/celebration event is being planned for early April 2015 when all funded groups will be invited

PRECIS OF AUGUST 2014 MINUTES

The meeting took place on 7th August 2014 and the following items were discussed:

  1. Confirmation had been received from CDF that one of the groups funded did not originate from us and that it had now been removed from our recommendations
  2. Six applications had been received for August that far exceeded our remaining allocation of monies.  The Panel discussed all the applications thoroughly without looking at the balance of funding available.  When the Panel decided which projects were to be funded the money was then allocated to them
  3. The two applications that were recommneded to CDF had their monetary requests amended to fit in with the balance available
  4. The Panel expressed disappointment that some groups still had not submitted their monitoring form at the end of their projects despite offers of help being offered
  5. ALL Community First money for Freshney Ward has now been allocated and the Panel would like to thank all those groups that applied
  6. The Panel will continue to meet until the end of the Community First Project but are changing to meet every other month until the end of March 2015
  7. It is hoped that a photocall can be arranged in 2015 for all the successful groups to attend to share thier successes

PRECIS OF JULY  2014 MINUTES

The meeting took place on 3rd July 2014 and the following items were discussed

  1. Some Groups are still not submitting their final evaluation of the projects funded at their final date.  These groups are being contacted by the Panel to offer any further help
  2. A thank you letter had been received from the Cabinet Office offering thanks to Community First Panels
  3. Three applications had been received and discussed – one was recommended for funding and further information is being sought on the other two and will be discussed again at the August meeting
  4. The First Aid Course organised by the Panel had been successful with all participants passing.  Certificates will be presented when received.  Our congratulations to all who took part
  5. An excellent write up from XL Mentoring who had received funding from Community First appered in The Grimsby Teegraph on 28th June
  6. The Panel is also working closely with another group regarding possible funding

PRECIS OF JUNE 2014 MINUTES

The meeting took place on 5th June 2014 and the following items were discussed

  1. A request had been received from CDF asking if any of the projects funded would be willing to be filmed.  The Panel has contacted one of the groups to ask if they wish to take part
  2. A further  application has been recommended to CDF and another has been agreed in principle but the Panel are awaiting answers to some queries.
  3. The Chatteris House Knit & Sew Group has now received their funding and we wish them well with their project
  4. The Panel were disappointed with the poor takeup of the First Aid Course that had been organised.  Owing to limited places groups had been contacted and invited to participate.  This had resulted in five places, but we are confident that the remaining places will be taken up
  5. The publicity day held at Chatteris House – four groups who had received funding had been invited to attend with the resulting publicity being superb.  The event was by invitation only to enable control of who would be attnding as Chatteris House is a group dwelling and therefore a private residence
  6. The Panel are pro-active in looking for projects and will visit potential groups to offer support.  This had happened and had resulted in an application being received, but we always welcome any applications provided that they are of benefit to the residents of Freshney Ward

PRECIS OF MAY 2014 MINUTES

The meeting took place on 1st May 2014 and the following items were discussed

  1. Log in details had been received from CDF (Community Development Foundation) to allow the submission of Year 4 Funding
  2. The Panel had received notification from CDF in their recommendation of the time line for this last year of funding.  They recommend that all projects should be submitted by the end of September 2014, money spent by the end of December 2014 and projects completed by February 2015 thereby enabling the monitoring forms to be submitted by the final date of 31st March 2015
  3. Two projects had been recommended for funding
  4. Monitoring forms are still outstanding from some of the past recipients for funding and these are being followed up by Panel members as well as CDF.  It is a condition of receiving the funding that a monitoring form is completed within a month of the finish date of the project.  Help is always available from the Panel for completion of forms
  5. A publicity event is being held on 13th May at Chatteris House to publicise some of the recipients of funding and also to serve as a reminder that this is the last year of funding
  6. A couple of projects that the Panel have heard of are being contacted to see if they are eligible for any of the Community First Funding
  7. The First Aid Course applications have been sent to past recipients of funding and we are awaiting replies re this

PRECIS OF APRIL 2014 MINUTES

The meeting took place on 3rd April 2014 and the following items were discussed.

  1. This is the last year of Community First Funding – the application received and deferred from March will be submitted as soon as the Year 4 log in details have been received from CDF (Community Development Foundation)
  2. A further application was received too late for the April meeting and will be discussed at our May meeting.  The information has been forwarded to the Panel members.
  3. A First Aid Course organised by the Panel will be run on 18th June at The Willows Community Church.  As places are limited (14 only) organisatins that have previously received funding will be invited to put forward one applicant with a reserve with the request that details are returned by the end of May 2014.  This Course was organised to utilise the last of the funding available in Year 3.
  4. Monitoring forms still seem to be an issue with some groups – remember that the Panel are here to help if you are struggling to complete them.
  5. The Panel are in the process of arranging publicity for the last few projects from Year 3 and to highlight the fact that there is still funding available for Year 4.
  6. Following on from the publicity and to utilise some sewing machines from a previous project groups were to be invited to make some bunting that could be used at various events held within the Ward.  It was suggested that each group produce bunting that reflects what they do.

PRECIS OF MARCH 2014 MINUTES

The meeting took place on 6th March 2014 and the following items were discussed.

  1. Three applications had been received for this month.  Unfortunately we could only recommend two for this funding year so the third one is to be submitted in the year four funding.  It is the first time in the three years that we have actually had more applications than funds!
  2. The two applications submitted to CDF are Chatteris House Knit and Sew Group and Street CRED (Safer Homes)
  3. The small amount remaning will be used to fund a first aid course
  4. Monitoring Forms – it would appear that some groups have difficulty submitting this form.  The Panel are always available to help in this matter
  5. We have received queries from other groups and we are awaiting their applications so that the Panel can disuss the project in full.
  6. The next and final year of funding will shortly be starting – 1st April 2014.
  7. Look under ‘Successes’ for pictures and a short report from Great Coates WI – with help from Community First Funding their membership has grown by 40%

PRECIS OF FEBRUARY 2014 MINUTES

The first meeting of 2014 took place on Thursday 6th February at The Willows Community Church.

The following points were discussed:

  1. CDF Newsletters and the monthly report had been circulated to the Panel
  2. We have received notification that the DK Puppet Theatre has now received the funding that we recommended
  3. We had three submitted applications for discussion at this meeting.  One has been recommended to CDF for funding.  The Panel rejected the other two, but offered advice as a possible way forward for them.
  4. Three other enquiries were also raised and these groups have been invited  to submit applications although in some instances the initial enquiry would need to be altered.  Panel members are in continual contact with these groups to enable Community First to best support them
  5. Groups that have already received funding may be contacted by CDF for auditing purposes so it is vitally important that correct records of expenditure are kept
  6. We will soon be entering into our final year of funding so there are some very important dates to rmember
  • Year 4 recommendations can be made in  April 2014
  • All recommendations must be made by December 2014
  • All projects should have spent their funding by February 2015
  • All monitoring reports need to be submitted by 31st March 2015

A PRECIS OF DECEMBER 2013 MINUTES

The last meeting of the Panel took place on Thursday 5th December 2013 at the Willows Community Church.

The Panel discussed various aspects of Community First funding and passed on relevant information as follows:

  1. The November and December newsletters from CDF had been circulated
  2. The monthly Funding report was also circulated.  There is still money available for projects in this year
  3. A thankyou had been received from DK Puppet Theatre for recommending funding for them
  4. A meeting between members of the Panel and an applicant had taken place to enable progress in the application.  Further information is being sought and will be discussed at our February meeting
  5. Year 4 Funding (our last year) will be available from March 2014.  Applications must have been received and submitted by the end of December 2014 – further information will be available in the New Year
  6. Monitoring forms are still outstanding for some of the groups whose projects have been completed.  CDF and the Panel are communicating with the groups on this matter.  Note – no further funding will be available until these forms have been submitted to CDF
  7. Freshney Forward, our Panel Partner had received positive compliments on the workings of the Panel
  8. We are tentatively looking into the possiblility of making training available to groups within the Ward to help with their development (e.g. First Aid, Child Protection, Food Hygiene) – watch this space.

Once the business of the meeting was concluded, we enjoyed the nibbles that each Panel member had brought.  The Chair thanked all the Panel for their help in the last twelve months and asked them for any suggestions for improvements to the way the Panel worked.

Our next meeting and the first for 2014 will be held on 6th February 2014

PRECIS OF NOVEMBER 2013 MINUTES

The  meeting took place on 7th November at The Willows Community Church.

A copy of the monitoring form for the Bingo Club was passed around.  It was satisfying that a small grant of £500.00 had made a difference to a struggling club.  This club now goes from strength to strength.

A new form to help with planning a project will shortly be appearing on the website.  There is a completed sample  and a blank form for potential applicants.  Remember that the minimum amount to be applied for is £250.00 with the maximum of £2500.00 and MUST benefit residents of Freshney Ward.

The application for Play and Music Tots has been approved.

Two further applications have been received, one was recommended and the other is awaiting further clarification on the project.

Our next meeting will be on 5th December  at The Willows Community Church.

PRECIS OF OCTOBER 2013 MINUTES

The October meeting took place on 3rd October 2013.  No meeting was held in September.

An application has been submitted for Play and Music Tots.

Groups are beginning to invite the Panel to see how they are getting on with the funding they have received and it is always nice to see this.  Pictures are now displayed on the website of some of the events funded.

Panel members attended Freshney Forward Community Fun Day and manned a stall to promote Community First.  Although it generated a lot of interest no new groups were forthcoming.

The Panel secretary had attended a Community First Support Day in Hull recently and brought back some useful information that will be available to groups to help in crystalizing your thoughts to apply for funding.

The CARE Food Larder and Community Drop In was launched officially by The Mayor of North East Lincolnshire on 1st October.

Several groups are coming to the end of their Funding year and will need to complete the evaluation form to return to CDF.

PRECIS OF AUGUST 2013 MINUTES

The August meeting took place on 1st August 2013.

Two enquiries had resulted from the Open Day held on 20th July.  One application has been received and we are awaiting clarification on some points within it, the other is a ‘work in progress’.

The two invites received were attended by members of the Panel and an entertaining afternoon and evening were enjoyed by them.  A further invitiation to the JWA Summer School Presentation has been received and availablePanel members will be attending.

The Chair and secretary visited the opening event of the Great Coates Village Hall with the hope that there would be user groups available.  A list of potential users were displayed and the request that our details be passed onto them was made.  An article will appear in the next edition of the village Newsletter.  This can be accessed by visiting greatcoatespc.com

One of the  groups we funded is in the process of reorganising itself and this will mean a relaunch and better use of the equipment we recommended for the funding.

Members of the Panel will be in attendance at the Freshney Forward Fun Day (on 18th August 12noon to 16.00 hrs at BEK Centre and surrounding area, Willows Est.), running a stall and will also be available to discuss Community First funding issues with any interested groups (Please note that any funding requests are for the benefit of Freshney Ward residents) .  All are invited to come and have a go on our ‘find the treasure’ map – a sweet for taking part and a treasure chest for the winner!

The September meeting has been cancelled owing to holidays so the next meeting will take place on 3rd October 2013.

PRECIS OF JULY 2013 MINUTES

The July meeting took place on 4th July 2013.

It was nice to receive invitations to two events from funding recipients and the Panel are looking forward to attending.  Thank you to Whitgift School and Fresh Voices Choir for this.

The two applications on hold from the last meeting are now progressing and one has been submitted with the other one being submitted shortly.

An Open Day has been arranged for 20th July between 10.00am and 2.00pm at The Willows Community Church for prospective funding groups to come along and have a chat with Panel members.  A further chance to chat will also be available at the Freshney Fun Day on 18th August between 12noon and 4.00pm.  Please come along and see us you will be most welcome.

The submissions to CDF (Community Development Foundation) has changed in that only ONE priority can actually be included, but tick boxes are available to cover all the areas that the funding application addresses – if you have any difficulties please do not hesitate to contact us for help.

Our next meeting will be in August. The September meeting is cancelled owing to holidays so it will be October next.

PRECIS OF JUNE  2013 MINUTES

The June meeting took place on 6th June 2013

The majority of the meeting discussed three applications that had been received.  One application has been recommended for Funding and the remaining two had been put on hold until further information had been sought to clarifiy the applications.

The Community Plan is now approved and we invite any comments tor suggestions hat you may have.  These can either be sent via Email or at the Freshney Forward meeting as well as passing on the information to any of our Panel Members.

We also discussed having a launch day for Round three to raise awareness of the funding available and this is in the planning stage.  If anyone knows of groups that meet within the Ward for the benefit of the Ward we would love to hear from you or them to see if we can help  in any way.

The Freshney Ward Community Drop in is now up and running at the Willows Community Church on Tuesday mornings and is open to all Residents of Freshney Ward.

At the recent Freshney Forward meeting the Panel was asked to provide details of how those groups we have recommended for funding fit into the Community Plan and this will be available for their next meeting.

PRECIS OF MAY  2013 MINUTES

The May meeting took place on 16th May at The Willows Community Church.

The majority of the meeting discussed the new application forms that have been received from CDF (Community Development Foundation with the main changes being the addition of tick boxes.  The guidance notes have also been updated and these are available from the website.

Applications were also discussed, but unfortunately we were unable to agree the funding at present owing to questions arising.  All groups involved with these have been notified and we are awaiting replies before we are able to proceed any further.

The good news is that the Community Plan has been approved by CDF and the third round of funding is now available.

Our next meeting is on 6th June.

 

APRIL 2013 update

The Panel did not meet in April and our next meeting is 16th May.

However, I can report that the Community Plan was forwarded to CDF (Community Development Foundation) for approval.  A draft copy will be shown on this website (under Community Plan)shortly for any comments or suggestions.

An updated application form will also be available for any Year 3 funding applications.

PRECIS OF MARCH 2013 MINUTES

The Panel met twice in March once as a general meeting and then again to discuss some further applications and the Community Plan.

The meeting on 7th March discussed and agreed on three applications received.  These have been recommended to CDF (Community Development Foundation) for funding.  On 14th March a further application was discussed and agreed.  This has also been recommended to CDF for funding.

We are pleased to report that all but £75.00 has been awarded to various groups within the Ward for Year 1 and Year 2 funding.

The next round of funding is due to become available from May 2013 onwards.

The winner of the voucher (from the questionnaires) had been unable to be contacted so this was redrawn with K. Kirby a Willows resident winning.  Arrangements are being made to present him with the voucher.

Jane was thanked by the Panel for all her work on the Community Plan.  This is now in its final stage before submission to CDF by 31st March 2013.  A copy will be published on the website inviting constructive comments.

PRECIS FEBRUARY 2013 MINUTES

The Panel met twice in February once as a general meeting and then again to discuss some applications and the Community Plan.

The meeting held on 7th February discussed and agreed on two applications received.  These have been recommended to CDF (Community Development Foundation) for funding.

A few other tentative enquiries have been made from various groups, but only two have materialised into applications.  These two were discussed at our 21st February meeting and subject to the questions the Panel raised being answered satisfactorily these will also be recommended for funding.

The questionnaires relating to the Community Plan were delivered to every household within the Ward thanks to a team of volunteers.

Those residents who completed the questionnaire are to be thanked and their comments will help with finalising the Community Plan which has to be in place by the end of March.  Our thanks also go to the Willows and Wybers Wood Co-ops, The Jubilee and The Valiant and finally The Willows Community Church for allowing the collection boxes on their premises.

The winner of the £20 voucher is S. Durrant a resident of the Willows.

Jane Mansfield was thanked by The Chair of the Community First Panel for all her support both with the questionnaire and the Community Plan.

Sue attended a Support Day in Hull for Community First Panels which proved to be most useful.   A training session for the Community First Website has also been arranged with VANEL on Friday.

25th February 2013

 

PRECIS OF JANUARY 2013 MINUTES

 The Chair welcomed the Panel to the first meeting of 2013 and wished everyone and Happy New Year.

An application was received and discussed at this meeting and as various queries have been raised regarding this further information is being sought before it can be progressed.  It is hoped that both the applications with queries – one from December and one from January can be further progressed at the February meeting.

The Community Plan questionnaire was discussed and the Panel agreed on the final draft of this document.

The document is to be distributed to all households throughout the Ward with the request for completed questionnaire to be returned to various drop-off points for discussion at our February meeting.  As an incentive, the Panel is offering a £20 gift voucher for the first fully completed form drawn from all replies.

This second round of funding expires  at the end of March 2013 and at present we have only had one successful application (as above, two more in pipeline) – the money cannot be carried over from one year to the next so it is a case of ‘using or losing it!’

PRECIS OF NOVEMBER/DECEMBER MINUTES

December

Our meeting took place at the beginning of December and we are pleased to report that Fresh Voices Choir was successful in their bid for funding.  The second bid is to be resubmitted clarifying the queries the Panel raised.  Remember, funding is still available for groups to apply – this second round finishes in March 2013.

The Community Plan questionnaire was discussed and is in the process of finalisation before being distributed to all he Ward for comments.  As an incentive, a prize of £20 is being offered for the first fully completed questionnaire to be pulled out of the hat after the closing date.  At present this date is set for 31st January 2013 to enable discussion of the answers at our February meeting.

SOFF who received funding from the first round have now taken delivery of the sewing machines and had some good publicity in The Grimsby Telegraph – we wish them luck and look forward to seeing the results of their labours.

The Chair took the opportunity to thank all members of the Panel for their hard work in the past year and was looking forward to working together in 2013.

Freshney Ward Community First is into the second round of funding with around £8000 available as matched funding for suitable groups/organisations in bids of £250 to £2500.

Two applications have been received.  The Panel is still awaiting replies to queries from one of the bids before it can be submitted, and the other is to be discussed at our December meeting.

The Panel continues to meet monthly with most of the time at present spent on discussing the Community Plan as this has to be in place by March 31st 2013.  A questionnaire is being prepared for distribution to residents’ seeking their views on various topics/priorities that affect the Ward.   Once these have been returned and analysed, the production of the Community Plan can be progressed further, eventually culminating into the finished document.

PRECIS OF OCTOBER MINUTES

 The October meeting took place on Thursday 4th October at The Willows Community Church. The majority of the meeting was taken up with discussing the Community Plan, which has to be in place by the end of March 2013.  A draft plan has been circulated to the Panel members for constructive comments to be made.  Jane, NELC Support was thanked for the work she has done in producing the draft document. The rest of the meeting was used to give a report on the Open Day to launch the second round of funding that had occurred the previous day.  Three sessions had been arranged for potential groups to come in and chat and also to see the successes of the funding that had been allocated in Year One. A total of seven groups attended to discuss future funding.  A thank you had been sent to these groups thanking them for their interest shown and that we looked forward to receiving applications for discussion/approval by the Panel.

Our next meeting is to be held on Thursday 1st November at The Willows Community Church

 

Précis of September Minutes

The meeting took place on 6th September at The Willows Community Church with seven members of the Panel in attendance along with our Community Support Worker.

The meeting concentrated on discussing and organising an Open Day for the next round of funding.  This is to take place on 3rd October at The Willows Community Church and the times will be 10 – 12 noon, 2-4pm and 6-8pm.  Any groups who meet to benefit the residents of the Ward are invited to come along to discuss the prospects of funding.

The meeting also discussed the draft Community Plan produced, with our thanks, by Jane our Community Support Worker the Panel have now been tasked with making any comments/suggestions to take this document forward.

PRECIS of AUGUST MINUTES

The Panel held its monthly meeting in August 2nd 2012.

Discussion took place regarding the funding process – the Panel recommends the funding, but then we appear to be left in mid-air on the status of the grants!

Five out of the eight Groups/Organisations we recommended have received their funding and two of these have completed their projects (See successes elsewhere on the Website). We would welcome articles of the event funded for inclusion on the Website.

The Community Plan is still in its infancy.  This is now a standing item on our Agenda.

At our September meeting, we are to arrange a date for an ‘open day’ to invite the successful groups who have received their funding and to publicise the next round of funding.

PRECIS OF FRESHNEY WARD COMMUNITY FIRST minutes – June 2012

The Panel met twice during June to enable all the submitted bids to be discussed. The Panel have recommended several of the submitted bids to the CDF (Community Development Foundation) for their approval.  If this is given, then a partnership is formed between CDF and the community group.  Providing that CDF are in agreement with our recommendations, we are happy to report that all but £30 of the grant money for this year has been allocated.

Not all submissions received the approval of the Panel, but this was not to say that they were not considered valid and valued bids.  The groups who fell into this category will be contacted shortly and supported by the Panel in completing and submitting another application for the next round of funding.

When confirmation approval has been received from CDF then the organisations and amounts will appear on the Freshney Ward Community First website page under ‘Successes’

We would like to thank all those who showed an interest in the Community First Funding and we look forward to receiving further bids from local groups for the benefit of Freshney Ward.

May update

The May meeting took place on Thursday 3rd May at The Willows Community Church. A précis of the minutes is below:

The Panel have received several enquiries for Funding, but unfortunately some of them are not eligible for funding.

We have one outstanding funding application and we are seeking clarification from the CDF as to whether it can be funded. A further query has been received from a group and we are in the process of assisting them with the form filling.

Freshney Ward Community First has now been officially validated with the CDF by our Panel partner – Freshney Forward.

The Panel is sharing the workload of preparing the Community Plan which has to be completed by March 2013.

Flyers are being produced to advertise the funding available to our area will be displayed around the Ward. A stand will be manned at Great Coates School Fete on 31st May for people to enquire about the funding.
